What type of information we have

We currently collect and process the following information:

Personal identifiers, contacts and characteristics including your name, address, phone number and email.
Information about your current employer and job role.
Emergency contact information (such as next of kin).
Payment information is collected at the point of booking any paid session, but is securely stored by our payment processors and is not accessible to any Good Maven employee.
Information about your skills and experience which may include your complete CV.
Portrait photos of you.
Your current and expected salary information.
Your social media handles.
Other personal information which you choose to provide during your relationship with us.

How we get the information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

In order for us to provide you with coaching or recruitment services.
So that we can contact you about job opportunities.
So that we can carry out background checks and pre-interviews.
In order for us to contact you about our services and offers.
So that we can collect payment for our services from you.
In order for us to provide your information to prospective employers.
So that we may contact your next of kin in case of an emergency (if you become ill for example).

We also receive personal information indirectly, from the following sources in the following scenarios:

Our recruiting software is called Manatal. This system scans public social media profiles on our behalf to identify potential candidates for opportunities we have.

We may use the information provided to us by this software to contact you about opportunities.

We may also use this information to contact you about our services and offers.

Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:

(a) Your consent. You are able to remove your consent at any time. You can do this by contacting hello@goodmaven.com

(b) We have a contractual obligation.

Note that, by making an enquiry or booking with us, you are providing your consent for us to contact you. You can opt out of receiving emails at any time by clicking the unsubscribe link in any email we send. You can also ask for your data to be deleted.

What we do with the information we have

We use the information that you have given us in order to:

Provide you with coaching and/or recruitment services.
Keep in touch with you about our services and offers.
Make bookings for you with our coaches.
Match you with opportunities.
Make bookings for you with our clients.

We may share this information with prospective employers, if you are using our recruitment services.

If you provide us with information during coaching sessions, this information will be treated in confidence unless you ask us to share information with a prospective employer or other third party.

How we store your information

Your information is securely stored in the following places:

In our contact database, provided by Squarespace.
In our booking system, provided by Acuity.
In our applicant tracking system, provided by Manatal.
By our coaches, in their paper notes and coaching records, which are stored on the Good Maven company G-Suite.

We keep your personal information for two years after the conclusion of your relationship with us. We will then dispose of your information by secure destruction (shredding) of any physical notes or records and by permanent deletion of all records on our systems.

Your data protection rights

Under data protection law, you have rights including:

Your right of access - You have the right to ask us for copies of your personal information.

Your right to rectification - You have the right to ask us to rectify information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.

Your right to restriction of processing - You have the right to ask us to restrict the processing of your information in certain circumstances.

Your right to object to processing - You have the right to object to the processing of your personal data in certain circumstances.

Your right to data portability - You have the right to ask that we transfer the information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
